Job Title: Business Administrative Executive
Reports to: Finance & Admin Director
Date Revised: May 2024
Summary:
This position is responsible for performing general Admirative functions in scope of Finance, HR and Administrative described in following main responsibilities;
Main Responsibilities:
1. Finance
Office club management: Manage Account Receivable booking, Manage Customers by Biz Rental system, Invoicing, VAT,
Credit rating check, Overdue account monitoring etc.
Account Payable management (Monthly Recurring vendors such as Water purifier, Copier, Security, Stationery etc.)
Vendor master file management (including employees)
Manage Employee & Travel expenses (Concur)
2. HR
Assist HR recruiting process (Job posting, arrange interviews, Interview follow up etc.)
Annual Leave & Time card management (Mailplug)
Employee benefit management (ex. CNY & Thanksgiving gift, Quarterly Flexible point)
3. Administrative (not limited to followings)
Manage various vendors related to Office administration (ex. Security, Beverage, Copier, Stationery, etc.)
Manage employee fringe benefits (Ex. Quarterly Flexible point, Birthday gift, Holiday gift for employee & main vendors(twice a year))
Organize various company workshop, events and trainings (Ex. Christmas year end party, annual Company workshop, etc.)
Individual Corporate Credit Card management
4. Ad-Hoc
Collaborate with other Department on various projects
Qualification & Experience:
Essential:
1. University graduate
2. Minimum +2 years of professional experience in consumer goods
3. Must have SAP experience
4. Fluent in English is a plus
Desirable:
5. Precise, organized, proactive and autonomous in execution
6. Strong team player, great communication and adaptability
7. Get involved, multi-tasking, and comfortable in low resource and small organization
8. Worked in an international business so experienced in balancing local needs and opportunities with global resources and priorities
