Title : Senior Administrative Assistant of Faculty Affairs 

 

The Senior Administrative Assistant of Faculty Affairs at George Mason University Korea (MK) oversees the daily operations and support for faculty. This role involves initiating, implementing, maintaining, and supporting activities to ensure effective, efficient, and professional faculty operations. We aim to promote faculty growth and well-being, enhancing both the student educational experience and faculty satisfaction, contributing to the overall prosperity of the Mason Korea community.

Our support includes professional career development through research assistance and resources. Additionally, we collaborate with various faculty committees to facilitate faculty development. The position will be working within the team of Faculty Affairs (FA) professional and student staff and directly reporting to the Manager of Faculty Affairs. The pay scale of the position is from 45,000,000 KRW to 50,000,000 KRW per year based on previous working experiences.

The Senior Administrative Assistant will support the Office of Faculty Affairs to ensure that it operates effectively, efficiently, and professionally. This position will report to the Manager of Faculty Affairs and frequently interact with university faculty, staff, and other external units. The specific duties of a Senior Administrative Assistant include:


Office Management and Administrative Support: 60%

Scheduling and Coordination:

  • - Support scheduling and maintain a working calendar for the Associate Dean of Academic and Faculty Affairs.
  • Coordinate and organize meetings and interviews for the Associate Dean of Academic and Faculty Affairs upon request.
  • Assist with communications between the Associate Dean and faculty, staff, and students, including translation and interpretation between Korean and English as needed.
  • Work closely with the faculty administrative assistant and student interns to support the operations of the office.


Administrative Tasks:

  • Type correspondence, reports, and other documents.
  • Ensure accurate and secure management of faculty records and sensitive information.
  • Develop and maintain a system for tracking faculty achievements, publications, and professional development activities.
  • Support updating and maintaining the Faculty Affairs webpage including information that pertains to faculty.
  • Develop working relationships and a thorough understanding of the basic operations, policies, and processes of MK units that affect Faculty Affairs (including Human Resources, Facilities, Finance, Development, and Strategic Partnerships).
  • Advise representatives in these units about the implementation and improvement of policies as they relate to faculty.
  • Work with the manager in the development and implementation of strategic initiatives and projects within the Office of Faculty Affairs.
  • Track progress and report on key performance indicators (KPIs) related to faculty affairs projects.
  • Draft and distribute guidelines, forms, surveys, and announcements for faculty.
  • Provide visitor support with scheduling, logistics, and payment.
  • Assist with daily requests from faculty members.
  • Support IUCF staff as requested by the Associate Dean of Academic Affairs.
  • Perform other duties as assigned by the Associate Dean of Academics and the Manager of Faculty Affairs.

Financial Transaction Management:

  • Manage purchasing and procurement of office supplies, equipment, and services.
  • Assist with the use of faculty-contracted benefits and other funds supported by Faculty Affairs.
  • Draft pre-approval forms and keep track of payments and expense reports.
  • Manage p-card settlements through Oracle.
  • Manage budget tracking and payment processes.


Event / Project Management: 15%

  • Provide guidance and assistance to the faculty administrative assistant in planning, operating, and managing events supported by the Office of Faculty Affairs.
  • Senior admin will be responsible for working with the assistance in overseeing and making sure that faulty lead events are supported properly. Will need to provide logistical support such as reservation and venue setup, and work closely with the assistant and work-study students to ensure proper support is provided.
  • Lead or participate in special projects or initiatives as assigned by the Associate Dean or Manager of Faculty Affairs.
  • Develop and coordinate professional development programs and training sessions for faculty and staff.
  • Identify opportunities for continuous improvement and recommend relevant training resources.


Faculty Support: 25%

  • Assist faculty with daily requests - Onboarding and Offboarding support:
  • Support the on/off-boarding processes for faculty and work with the faculty administrative assistant in supporting these activities. These activities include faculty bank account opening/closing, connecting faculty with local phone service providers, and shipping. In addition, working closely with HR to support faculty ARC renewals by providing faculty guidance on the renewal process.
  • Advise the manager about progress and potential issues of concern.
  • Support faculty with the process for securing relocation airfare, share information on faculty accommodation, work with the assistant in setting up housing schedules and housing setup, and provide information that faculty will need before the start of the semester for a smooth transition.
  • Collaborate with other departments to ensure faculty are connected with relevant offices for proper information.
  • Work with the faculty administrative assistant and FAC (Faculty Affairs Committee) to support faculty transition once arrival.


Minimum Qualifications:

  • Bachelor’s degree.
  • High level of writing, speaking, and oral English and Korean communication skills.
  • Minimum of 4-5 years of relevant experience in academic administration or a related area.
  • Strong organizational and management skills.
  • Excellent communication and interpersonal abilities.
  • Demonstrated ability to support and enhance faculty development and well-being.
  • Experience working with diverse faculty members and promoting an inclusive work environment.
  • Proficiency in using relevant software and technology for administrative tasks.


Preferred Qualifications:

  • More than 5 years of experience in academic administration
  • Experience in event and project management.
  • Familiarity with academic policies and procedures, especially related to faculty affairs.
  • Experience in developing and coordinating professional development programs and training sessions for faculty


Knowledge, Skills, and Abilities:

  • Proficient in office management and administrative support practices.
  • Ability to advise on and implement policies related to faculty affairs.
  • Skilled in developing and maintaining systems for tracking faculty achievements, publications, and professional development.
  • Competent in managing financial transactions, budget tracking, and expense reporting.
  • Ability to coordinate and manage events and special projects.
  • Strong interpersonal skills to work effectively with faculty, staff, students, and external partners.
  • Strong problem-solving abilities and attention to detail.


Work Environment:

  • Standard office environment with frequent interaction with faculty, staff, and students.
  • Regular collaboration with various university departments and external units.
  • Standard work hours with occasional requirements to work evenings or weekends for special events or projects.
  • Minimal travel may be required, primarily for event support or professional development opportunities.
